Productivity Tools for Running a Lean Ecommerce Team

A five person ecommerce team does not need enterprise project management software. These tools stay useful without becoming their own full-time job to maintain.

Most productivity software is built assuming a large team with dedicated roles. An ecommerce team is often three to eight people, each covering more than one function, so the tools that actually help are the ones that stay lightweight as the list of things to track keeps growing.

Notion

A flexible workspace that can hold SOPs, a content calendar, a product launch tracker and a shared knowledge base without needing separate tools for each. The flexibility is also the risk, it is easy to over-engineer a Notion setup until nobody wants to update it, so start with a small number of simple pages rather than a complex database structure on day one.

Trello or Asana

Simpler, more visual task tracking than Notion's databases, well suited to a straightforward workflow like tracking product launches or content production stages. Trello's board-and-card model is faster to onboard a new team member into than Asana's more structured project views.

Slack or WhatsApp Business

For a small Indian ecommerce team, WhatsApp is often already the default communication tool, and forcing a switch to Slack purely for internal chat is rarely worth the friction. Slack earns its place once you need searchable channel history, integrations with tools like Shopify order alerts, or you are coordinating with an external team like an agency or freelancers.

Google Workspace

The practical default for shared drives, spreadsheets for inventory or content tracking, and a shared calendar for content and campaign planning. Not exciting, but it is the tool almost every freelancer, vendor and team member already knows how to use, which matters more than a feature comparison.

Where to start

If your team is currently coordinating over scattered WhatsApp messages and no shared documents, start with a Google Workspace shared drive and one simple Trello board before reaching for Notion's full flexibility. Add structure as the pain point actually shows up, not in advance of it.
